HANYS Solutions Partners with Adaptive Workforce
Solutions to Reduce Contract Labor Costs

Michael Ilnicki, Executive Vice President at HANYS Solutions says, “Healthcare providers’ labor costs have skyrocketed amid the ongoing workforce shortage and, more recently, with the high demand for clinicians during the COVID-19 pandemic.”

Data from 2019 shows the total spend on contract labor for hospitals and health systems in the United States is about $28 billion and New York hospitals and health systems represent approximately $1.3 billion of that contract labor spend.

With roots in New York state, the AdaptiveWFS team understands the staffing challenges that healthcare facilities face daily. Through this partnership, HANYS members will have access to state of the art, vendor-neutral VMS technology at no cost. AdaptiveWFS’ team of experts will give HANYS members a transparent and reliable workforce management solution for centralizing the entire contract labor management process designed to meet their organizations staffing goal objectives.

When asked about the partnership, Beth Delricco, Adaptive Workforce Solutions’ Director of Business Development, said, “Many of these hospitals have no formal way of managing their contract labor spend or they are lacking the analytics and reporting to help them make more informed decisions. HANYS Solutions saw the benefit to partner with a company who could help streamline the process and save hospitals money when COVID-19 bill rates were out of control.”

AdaptiveWFS takes a 3rd party, vendor-neutral approach and focuses on being an advocate for their clients.

Delricco says, “Because we are not a staffing company pushing our own technology, we’re able to step back and look out for our client’s best interests and advise them on the best course of action.”

Cutting Through the Chaos

[vc_row][vc_column][vc_column_text css=”.vc_custom_1591396202766{margin-bottom: 0px !important;}”]Many lessons were learned during the COVID-19 battle but one stands out among healthcare leaders–the importance of constant communication and streamlined processes and procedures. The old way worked but when put to the test, it was clear that improvements needed to be made before another crisis came along. One particular process took front and center, staffing. Finding staff fast was haphazard and inconsistent. Bill rates were not managed and hospitals were gouged as the needs became more dire. What can be done differently in the new constant state of readiness?

Fortunately, there are better ways for hospital leaders to procure labor and stay focused on patients, their staff, and day to day business. Enter the Workforce Management Solution. These solutions are tailored to the individual facility’s challenges and goals and the solution is vendor-funded so there is no cost to the hospital. A key service offered by Workforce Management Solution consultants is called a Managed Service Program.[/vc_column_text][vc_empty_space height=”40px”][/vc_column][/vc_row][vc_row][vc_column][vc_column_text css=”.vc_custom_1591394475545{margin-bottom: 0px !important;}”]

The benefits of a Centralized Workforce Solution

[/vc_column_text][vc_empty_space height=”20px”][/vc_column][/vc_row][vc_row][vc_column][vc_column_text css=”.vc_custom_1591396227065{margin-bottom: 0px !important;}”]

What is a Managed Service Program (MSP)?

An MSP is a centralized people and process solution that helps source and manage the short-term staffing needs of a facility. The MSP model can be a cost-effective tool for hospitals facing staffing shortages, crisis staffing fluctuations, filling vacation holes, retirements, or coverage during an EMR conversion.

An MSP will help your facility:

•  Recruit and onboard quality candidates
•  Improve fill, contract completion and extension rates
•  Consolidate contracts into one master agreement
•  Eliminate inflated bill rates
•  Streamline and simplify inefficient workforce processes
•  Increase vendor visibility
•  Reduce staff turnover and overtime hours
•  Leverage data to drive the planning process

These advantages can add up to 5%-8% in savings of time and money and provide a streamlined people, process and technology solution for managing every aspect of contract labor.[/vc_column_text][/vc_column][/vc_row][vc_row][vc_column][vc_empty_space height=”40px”][/vc_column][/vc_row][vc_row equal_columns=”true” attached=”true”][vc_column width=”1/2″][vc_empty_space height=”80px”][vc_column_text css=”.vc_custom_1591376016365{margin-bottom: 0px !important;}”]

A Business Case for Change

Most hospitals have no formal process for finding, hiring, credentialing, and onboarding contract labor. Often the process is handled differently from unit to unit and department to department. Using this method causes confusion, errors, multiple department cross over, high administrative cost and rogue spending.[/vc_column_text][/vc_column][vc_column width=”1/2″][vc_empty_space height=”80px”][vc_single_image image=”8622″ img_size=”400×329″ alignment=”center”][/vc_column][/vc_row][vc_row equal_columns=”true” attached=”true” css=”.vc_custom_1591397016934{background-color: rgba(0,0,0,0.05) !important;*background-color: rgb(0,0,0) !important;}”][vc_column width=”1/2″][vc_empty_space height=”40px”][vc_column_text css=”.vc_custom_1591397167426{margin-bottom: 0px !important;padding-left: 10px !important;}”]

Cutting Through the Chaos

An MSP can create increased efficiency by being the single point of contact for client and vendor. It will automate the process, use a consistent compliance process, lower costs through greater resources, negotiate competitive rates to promote true vendor competition, manage risk, consolidate billing, provide one invoice and one payment, and offer real-time reports to give visibility into every aspect of the contract hiring process including vendor performance.[/vc_column_text][/vc_column][vc_column width=”1/2″][vc_empty_space height=”40px”][vc_single_image image=”8623″ img_size=”400×329″ alignment=”center”][/vc_column][/vc_row][vc_row][vc_column][vc_empty_space height=”40px”][/vc_column][/vc_row][vc_row equal_columns=”true” attached=”true”][vc_column width=”1/4″][vc_empty_space height=”10px”][vc_single_image image=”8625″ img_size=”medium” alignment=”center”][/vc_column][vc_column width=”3/4″][vc_empty_space height=”10px”][vc_column_text css=”.vc_custom_1591377270815{margin-bottom: 0px !important;}”]

Is Your Facility Ready?

Managing healthcare staffing is complicated, time-consuming, and overwhelming. Finding the right talent at the right time, staying compliant, finding cost-effective solutions, and dealing with the challenges of contract management takes healthcare leaders away from the business of patient care. Adaptive Workforce Solutions understands that each workforce solution should be designed to solve the individual needs of each hospital and healthcare system. 7 Advantages to Bringing Your MSP In-House

In order to meet increasing industry demands and effectively address recurring issues surrounding cost, service quality and liability, many companies turn to a third-party managed service provider (MSP), rather than managing their contingent workforce processes in-house. There is justification for this decision, however, it may not always be the most efficient or cost-effective approach to managing your contingent workforce.

Where there was once only two choices – outsourcing your process management to a third-party or managing it in-house, both of which come with their advantages – there is now a third option, which marries the two strategies together giving you the most efficient hybrid solution to bringing your MSP in-house. which offers the best-of-both-worlds. In order to determine which approach makes sense for your organization, consulting with a healthcare management professional is recommended.

To be expected, there is often hesitation in making the decision to hand over access to all of your sensitive data to a third-party – and rightfully so. Maybe you’ve found yourself wondering if there could be a better way. As long as it wouldn’t put additional strain on your HR department and/or administrative staff and could still deliver the results you are looking for, you’d likely consider the option of keeping or bringing your MSP in-house. But it sounds pretty unrealistic, so is it even possible? Until now, the answer was a firm, “No.” With the introduction of the HMS model to contingent workforce management, the answer is now, “Yes!” And there are now many advantages to keeping or bringing your MSP in-house.

Here are 7 reasons why you should consider bringing your MSP in-house:

  1. Eliminate the Middle Man. This is often the approach businesses look to take first in order to cut costs. With direct access to a large, talented pool of experienced providers who are ready to work and don’t require training, you can reduce the need for overtime and gain the ability to fill your most critical shifts where needed and as soon as you need to. This eliminates the strain on your internal staff, the impact of which is invaluable.
  2. bringing-your-msp-in-house-improves-workforce-management-efficiencySystem-wide Visibility.  Having access to the information your business needs at any given time has clear advantages. It gives your staff the ability to streamline and simplify processes,  ensure best practices through simple automation, standardization, and gives you convenient access to your analytics all in one place. This puts you in control at all times which comes with immeasurable advantages.
  3. Supplier Relationships. Establishing strong relationships with your staffing partners is critical to a successful contingent workforce strategy. When choosing to outsource your management to a third-party, those long-standing, valuable relationships must be let go as you are locked into using your third-party MSP suppliers. With a hybrid HMS approach, you get to maintain your invested supplier partnerships and have access to our strategic VMS partner talent pools. The advantage of this marriage allows you to fill staffing positions on demand with the supplier you trust and ensures you will never end up in a bind during critical times.
  4. Improve Service Quality. Bringing your MSP in-house means more reliable service, less possibility of technical issues and disruptions in your service. The result is a more stable, dependable contingent workforce environment resulting in better service availability and performance expectations.
  5. Standardized Rates. This is a concept more commonly being implemented which allows your organization to streamline hourly bill rates and increase efficiency with standardization across all terms of your supplier agreements including bill rates, cancellation terms, risk mitigation, direct hire and billing terms, etc. This gives your in-house team the ability to make quick decisions and saves the organization hard and soft dollars.
  6. Streamlined Processes. The ability to simplify your credentialing, compliance, audit and maintenance processes through web-based, cost-deferred software technology means increased efficiency and improved accuracy. This is likely one of the more critical advantages to bringing your MSP in-house.
  7. Flexibility and Scalability to adapt to changing business conditions.  Consulting with an industry expert who can easily conduct a needs assessment, run analytics and provide you with new sourcing strategies to improve efficiency ensures you are able to maximize your business productivity year after year. Quarterly reviews reveal the data we need to determine which shifts in strategies need to be made.

The benefits of bringing your MSP in-house can be maximized by selecting a partner that has vast experience in the MSP/VMS space, that will not only enable you to customize your operations but also allow you complete control of your processes and resources.

When evaluating and choosing a provider that will exceed your in-house capabilities while at the same time improving efficiency and profitability, there is much to consider.  But it will likely prove to be well worth the research and effort.

For help determining whether or not bringing your MSP in-house is right for your business, and if so, which managed services provider would be the best fit, requesting a vendor management consultation would be wise.
